Privacy Policy
Last updated:
This Policy explains what personal data OpenLing processes, why, who we share it with and what your rights are under the General Data Protection Regulation (EU) 2016/679 (“GDPR”).
In short: the audio of your calls is used only to translate in real time. It is never recorded or stored anywhere. Transcripts never reach our servers, and your conversations are not used to train AI models.
1. Who is responsible (controller)
[COMPANY LEGAL NAME], registration number [REGISTRATION NUMBER], registered office at [FULL ADDRESS] (“OpenLing”, “we”, “us”).
Privacy contact: [PRIVACY EMAIL].
Representative in the European Union (GDPR Art. 27): [EU REPRESENTATIVE NAME AND ADDRESS].
2. What data we process
2.1 When you visit the website
- Technical access data: IP address, browser, operating system, pages visited, date and time. These are logged by our server and hosting provider for security and operation.
- No advertising or analytics cookies. The European version of the website does not set advertising, attribution or analytics cookies. If we start using them, we will ask for your consent first.
2.2 When you buy
- Name, email, billing address, VAT ID (if you give one), plan, amount and payment history.
- Payment details (card, PayPal or SEPA) are handled directly by Stripe. OpenLing does not receive or store your full card number.
2.3 When you use the app
- Account and licence: email, password (stored encrypted), technical ID of the activated PC, plan, call hours used.
- Call audio: while OpenLing is on, the audio of your voice and of the other people on the call is streamed in real time to our AI provider for speech recognition, translation and generation of the translated voice. The audio is not recorded or stored: it is processed only during the call and discarded straight away.
- Transcript: the text of the conversation is shown on your screen and deleted when the session ends. If you turn on “Save history”, the transcript is stored only on your PC. It is never sent to our servers.
- Usage and diagnostic data: session length (to count plan hours), chosen languages, app and Windows version and error logs. These do not include the content of your conversations.
2.4 When you contact us
Name, email and the content of your messages to support.

OpenLing does not use the audio or transcripts of your conversations to train AI models. We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.
4. Other people on the call
When OpenLing is on, the voices of the other people on the call are also processed so they can be translated. This happens only in real time and only for translation. You are responsible for telling the other people on the call that the conversation is being translated by AI and for obtaining any consent required by applicable law (see the Terms of Use).
5. Who we share data with
We share data only with service providers that process it on our behalf and on our instructions (processors):
| Provider | Purpose | Location |
|---|---|---|
| [AI PROVIDER — e.g. OpenAI] | Real-time speech recognition, translation and synthetic voice | United States |
| Stripe | Payments, subscriptions and fraud prevention | United States and others |
| Railway | Website hosting | United States |
| [EMAIL PROVIDER] | Account and order emails | [COUNTRY] |
We may also share data where required by law or by a competent authority, or to defend OpenLing’s legal rights. We do not sell personal data.
6. International transfers
Some providers are outside the European Economic Area, mainly in the United States. Where there is no adequacy decision, we rely on the European Commission’s Standard Contractual Clauses or on the provider’s certification under the EU-US Data Privacy Framework. You can ask us for a copy of the relevant safeguards at [PRIVACY EMAIL].
7. How long we keep data
| Data | Retention |
|---|---|
| Call audio | Not recorded or stored. Processed only during the call, to translate, and discarded straight away |
| Transcript | Deleted when the session ends, or stored only on your PC if you turn on “Save history” |
| Account and licence | While your account is active and up to 6 months after it is closed |
| Purchase data and invoices | As long as tax law requires (usually up to 10 years) |
| Website access logs | Up to 6 months |
| Support messages | Up to 2 years after the last contact |
After these periods, data is deleted or anonymised.

9. Security
We use encrypted connections (HTTPS/TLS), encrypted password storage, restricted access to data and providers with recognised security standards. No system is completely secure. If a personal data breach is likely to result in a risk to you, we will notify the authority and, where required, you.
10. Children
OpenLing is not intended for anyone under 18, and we do not knowingly process children’s data.
